Plan the event footprint before filling it with equipment.
Choose with the use in mind
Share the event use, guest flow and intended furnishings. A seated meal, standing reception and service area need different layouts. Explain whether you also need tables, chairs or other accessories so availability and the complete scope can be reviewed.
Make the location work
Describe the surface and any restrictions on anchoring. Utilities, overhead obstacles and access for setup need to be discussed before a structure is chosen. Weather limitations and site permissions depend on the actual installation; do not treat a rental request as approval.
Confirm the full arrangement
Keep restroom access, exits, food operations and delivery routes visible on the same plan. Confirm the setup window, dismantling time and responsibility for clearing the area. Ask which accessories are included rather than assuming they come with the tent.
Leave room for changes
If your dates, site access or expected use change, discuss the arrangement before the next delivery or service visit. Keep the agreed contact details available to the person managing the site.
